Current Openings:  

Job Title: Administrative Assistant

Supervisor: Executive Director

FLSA classification: Non-exempt (hourly)

Job Type: Part-Time (25 -30 hours per week)

Compensation: $16-$18/hour DOE


Basic Functions:

Provides administrative support to the Executive Director and offers additional support to other staff members as necessary.  Delivers a high level of customer service to members of the association.


Essential Duties, Responsibilities and Authority:


 Customer Service Activities

  • Primary phone coverage (first to answer all incoming calls).
  • Greet office visitors.
  • Process and respond or distribute fax/mail/email requests to other staff members.
  • Sort, distribute, and process incoming mail.
  • Prepare and mail all outgoing mail and packages.
  • Fulfill member material requests.
  • Assist in other customer service activities as assigned.

Member Records

  • Responsible for data entry and filing of new and renewing member information.
  • Coordinate compiling, signing, and sending of new member packets in coordination with the Membership Director.
  • Manage lists of boards, committees and task teams.
  • Maintain member e-mail lists in Constant Contact.
  • Enter MNLA re-certification points in database as submitted by members.
  • Post weekly welcome to new members on social media.


  • Assist Accountant as requested with basic bookkeeping items including electronic check deposits, credit card processing reports, audit preparation, and filing.


  • Oversee monthly Scoop magazine article workflow, writer lists (including e-mail reminders), mailing list, photo uploads, editing process, proof uploads, and other logistics.

Northern Green

  •  Plan and manage MNLA Membership Booth at the annual Northern Green trade show.
  • Data entry and filing of event registrations.
  • Manage and update attendee mailing list.
  • Manage supplies and equipment.

Government Affairs

  • Assist Government Affairs Director with coordination of legislative appointments and logistics for annual association Day on the Hill.
  • Ensure accuracy of member legislative district in the database.

Green Industry Leadership Institutes

  • Assist Communications Director with annual menu planning, monthly food ordering, room set-up, material assembly, and other logistics related to the leadership program.

Office Management

  • Assist Education Manager with administrative aspects of seminars including registration processing, badge printing, and preparation of materials for seminars.
  • Assist Education Manager with recertification program.
  • Assist Foundation Coordinator with administrative tasks as needed.
  • Attend staff meetings and print meeting materials.
  • Filing of materials.
  • Maintain office/meeting supplies and office equipment.
  • Log vacation and sick time for all staff.


  • Assist all staff in preparation for meetings and events hosted at MNLA including room set-up, refreshments, meals, and other items as needed.


  • Assist other staff members as requested.
  • Perform all other duties as requested by the Executive Director to support the mission of MNLA.

Background, Training and Requirements:

  • Completion of a standard high school course of study or GED; an Associate‚Äôs degree or some college level coursework in office administration or equivalent experience is preferred.
  •  Must be detail oriented with strong administrative, problem solving, and organizational skills.
  • Ability to handle/manage numerous concurrent projects with excellent time management.
  • Outstanding customer service skills including both written and oral communication.
  • Strong ability to work independently and self-motivate.
  •  Enjoy being part of a team while being extremely flexible.
  •  Ability to meet deadlines and prioritize.
  • A positive attitude.
  • An aptitude for learning new technology quickly and developing/improving processes is helpful.
  • Must possess strong computer and data entry skills necessary for database and website updates.
  • Knowledge of Word, Excel and Outlook required.  Constant Contact experience a plus.
  • This position requires minimal travel to events throughout the Twin Cities metro area.


  • Reports to the Executive Director.
  • Work closely with Executive Director.
  • Maintain a high level of contact with all association staff.
